This privacy policy explains how the Paul Acheson Summer Sports Weeks (PASSW) programmes use and protect any information which you provide when using our website – summersportsweeks.com

PASSW is committed to ensuring that your information is kept safe. Any personal information which you provide to PASSW will only be used in accordance with this policy.

What information we collect?

We collect the following information:

* Full name
* Contact information including telephone numbers, postal address and email address
* Names, dates of birth, and ages of any children being enrolled for an Easter or summer programme. This may also include any medical information which you provide
* The dates and type of programme you have selected for your child(ren)
* A record of your payment

What we do with that information

We require that information to better understand your needs. It allows us to provide PASSW customers with a better service and in particular for the following reasons:

* Customer record keeping
* If you have given us permission to do so, we will email you with information on each year’s Easter and summer programmes for the 2 years after your first booking; if you do not make a further booking during those 2 years we will not contact you again. We may also need to email specific information about the course you have booked e.g. a change of location within Campbell College

Third parties

We have never disclosed any parent’s personal information to third parties since our inception in 1993 and will not do so in the future. The only reason we may have to disclose a parent’s personal information is to comply with a legal obligation (e.g. to government bodies and law enforcement agencies)

Your debit and credit card information

Parents who complete a booking online make a safe payment directly via ShopPay. PASSW does not have any access to any aspect of a parent’s debit or credit card information.

Security of your personal information

We will put in place appropriate safeguards (both in terms of our procedures and the technology we use) to keep your information as secure as possible.

Child Photography Policy

We value the privacy and safety of all our young people. This policy outlines how photographs of children participating in our summer camp activities are handled and used.

1. Purpose of Photography

Photographs may be taken to:

  • Capture memorable moments and showcase camp activities.

  • Promote the camp on our website, social media channels, brochures, and other marketing materials.

2. Consent

  • Parental or guardian consent is required before any photographs of their child are taken or used.

  • Consent will be obtained during the booking process through a checkbox agreeing to this policy.

  • Parents/guardians and children may opt out of photography at any time.

3. Use of Images

  • Photos will only be used for camp-related purposes as outlined above.

  • Images will not include identifying information such as names or personal details.

  • Group photos may be used, ensuring no child is singled out unless specific consent has been granted.

4. Storage and Security

  • Photos will be securely stored on camp-managed devices or platforms.

  • Access to photographs will be limited to authorised staff.

5. Restrictions

  • Photos will not be used for commercial purposes unrelated to camp activities.

  • No third parties will have access to the images.

6. Parental Rights

  • Parents/guardians may request access to view any photos of their child.

  • Requests for the removal of a specific photograph from public platforms will be honoured promptly.

7. Updates to the Policy

This policy may be updated periodically. Parents/guardians will be informed of any changes and provided the opportunity to review and consent to the updated policy.
